Our Terms and Conditions

1.     Our Obligations
1.1   ‘OnDemand PA’ agrees to update you regularly on any changes/additions to pricing, work structure/suppliers.
1.2   Any complaints or concerns should be raised immediately with ‘OnDemand PA’ who will respond with in 2 working days         with a solution.
1.3   Errors made by ‘OnDemand PA’ will be rectified immediately at no charge to the client.
1.4   Copies of work will be kept on file for 60 days or as agreed, after which time they will be deleted. We will contact you        1 week prior to the destruction of your files, then you will receive written confirmation.
1.5   Original paper copies can be returned when the work is completed, or shredded.


2.     Your obligations
2.1   You agree to use to the best of your knowledge true, accurate, current and complete information when providing your         details to ‘OnDemand PA’.
2.2   You agree to notify ‘OnDemand PA’ as soon as possible any changes to information that may have an impact on the         work OnDemand PA’ carry out for you.
2.3   You are required to proofread completed work at the earliest opportunity upon receipt. Amendments made in error by         ‘OnDemand PA’ will be rectified immediately free of charge, see 1.3 if the client wishes to make changes this will be         charged at the agreed hourly rate.

3.     Quotations
3.1   A formal quotation will be provided outlining the hourly fee structure and any term specific to the agreed project.
3.2   A confirmation accepting the terms and conditions are required before any work can commence.
3.3   Should the client’s original requirements change; a revised quotation will be agreed between both parties.
3.4   Work with urgent deadlines of less than 48hours may require us to work out of ‘normal’ hours for which the hourly rate         increases to £30 per hour see 4.2

4.     Charges
4.1   A minimum of one hour will be charged at the standard are of £20. Thereafter, charges will be made for every 15 Minutes.
4.2   Increased rates will be billed for evenings (18.00-08.30), weekends, UK public holidays, for which the hourly rate increases        to £30 per hour.
4.3   Registration of client details and initial enquiries regarding a new project is complimentary. Any time taken carrying out        work experimentally at the client’s request, or discussing an assignment in detail shall be charged at the standard hourly        rate.
4.4   All rates include standard office stationery, telephone calls, fax transmissions and printing.
4.5   Additional costs maybe incurred, but will always be agreed with you in advance and reviewed as the project progresses.         Additional costs to be considered for example, professional printing, specialist stationery (letterhead should be supplied by         the client), postage, courier, travel (at 40pence per mile), and partnered suppliers if required.
4.6   You will be invoiced for the hours worked and any additional costs as appropriate see 4.1 and 4.5
4.7   Packages can be tailored to suit your needs and can be discussed with ‘OnDemand PA’.

5.     Payment
5.1   Payment terms are 14 days from date of invoice.
5.2   A deposit may be required, depending on the length of the business relationship and the size of the project.
5.3   Payment can be made by cash, cheque or on-line (BACS). If cheques or on-line payments are refused the client will be         responsible for any bank charges.
5.4   Late payments will incur a 2% surcharge, then rising to 5% after 14 days. ‘OnDemand PA’ reserves the right to suspend        your services in respect of outstanding invoices or ask for a deposit to be paid before resuming services.
5.5   Payments for clients with a retainer agreement are due at the beginning of each month. Any hours exceeding the        agreement will be invoiced separately at the normal rate and payment must be made within 7 days see 5.1 and 5.4

6.     Cancellation
6.1   You should have received our Terms & Conditions prior to a job commencing therefore 2 days notice should be given if you         wish to cancel, except where (i) the task has already started or been completed which you will be charged for the work         carried out (ii) the partnered supplier has already been booked, any charges will be billed to you.
6.2   Your cancellation should be in writing to the office postal address or via email/fax.

7.     Liability
7.1   There is no warranty that the website or service will be uninterrupted, timely or error free.
7.2   ‘OnDemand PA’ accepts no act or omission beyond its reasonable control.
7.3   Neither party will be responsible for an unforeseeable event, resulting in delays or non-performance. Action will be taken to         resume normal service as soon as possible.

8.     Notices
8.1   You are advised not to send original documents via ordinary mail services.
8.2   ‘OnDemand PA’ will not open any e-mail attachments from unrecognised sources.
8.3   Any changes to this agreement will be sent to clients via e-mail or 1st class post.

9.     Confidentiality
9.1   All information is treated confidentially and will not be passed onto any third party, apart from the purposes of this        agreement.
